Position Title: Portfolio, Programme, and Project Support Specialist
Location: Anzac Park West Constitution Avenue (Preferred), Other Defence Sites (Commonwealth Premises) and Remote.
Employment Type: [Full-Time/Contract]
Security Clearance: Minimum NV1 security clearance
Experience: 10 years experience in portfolio, programme, and project support roles within IT or defence environments, with at least the last 3 years on defence-related projects. Experience with Defence ICT projects highly regarded.
Salary: $183,300 – $247,000


About the Role

We are seeking a highly skilled and motivated Portfolio, Programme, and Project Support Specialist to provide critical administrative, organisational, and analytical support to ensure the successful delivery of defence ICT initiatives. This role requires a deep understanding of programme and project management practices and their application within a complex defence environment.

You will be responsible for supporting the coordination and governance of projects across portfolios, ensuring alignment with organisational objectives, compliance with policies, and effective stakeholder engagement.


Key Responsibilities

  • Portfolio, Programme, and Project Coordination:
    • Support the planning, execution, and monitoring of portfolios, programmes, and projects.
    • Assist in aligning project activities with organisational goals and strategic priorities.
  • Governance and Reporting:
    • Maintain project governance frameworks and ensure adherence to relevant standards and processes.
    • Prepare regular status reports, dashboards, and key performance indicators for stakeholders.
  • Risk and Issue Management:
    • Assist in identifying, assessing, and mitigating risks across portfolios and programmes.
    • Maintain risk and issue logs and track resolution progress.
  • Resource and Budget Management:
    • Support resource allocation and utilisation tracking across projects.
    • Assist in monitoring budgets and financial performance, ensuring fiscal responsibility.
  • Stakeholder Engagement:
    • Liaise with internal and external stakeholders to ensure clear communication and collaboration.
    • Facilitate meetings, workshops, and reviews to gather inputs and share updates.
  • Documentation and Compliance:
    • Develop and maintain comprehensive documentation, including project plans, schedules, and charters.
    • Ensure compliance with defence policies, standards, and frameworks.
  • Continuous Improvement:
    • Identify opportunities for process improvement and implement best practices in programme and project management.
    • Support lessons learned exercises and contribute to knowledge-sharing initiatives.

Key Skills and Experience

  • Bachelor’s degree in Business Administration, Project Management, Information Technology, or a related field.
  • Extensive experience in portfolio, programme, and project support roles within IT or defence sectors.
  • Strong understanding of project management methodologies (e.g., PRINCE2, PMBOK, Agile).
  • Excellent organisational, analytical, and problem-solving skills.
  • Proficiency in project management tools and software (e.g., MS Project, Jira, or equivalent).
  • Exceptional communication and stakeholder engagement skills.

Essential Requirements

  • Australian Citizenship (mandatory).
  • Minimum NV1 Security Clearance (mandatory).
  • 10 years of relevant experience in portfolio, programme, and project support roles.
  • Ability to work collaboratively in multi-disciplinary teams.
